Focus Pocus ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our productivity application.

Information We Collect

Account Information

When you create an account, we collect:

  • Email address
  • Name (from your Google account)
  • Profile picture (from your Google account)

User-Generated Content

We store content you create within the app:

  • Tasks and task descriptions
  • Goals and milestones
  • Habits and tracking data
  • Journal entries
  • Focus session records

Email Data (Email-to-Task Feature)

When you forward emails to create tasks, we process the email content to extract task information. We store:

  • The sender's email address
  • Email subject line
  • Email body content (used to generate task descriptions)
  • Any attachments you include

Email content is processed by our AI to extract actionable task information. The original email content is stored to allow you to review the source of created tasks.

When you register your phone number for the SMS-to-Task feature, we collect:

  • Your phone number
  • SMS messages you send to our service number

SMS Consent and Opt-In

Your consent to receive SMS messages from Focus Pocus LLC is obtained separately and explicitly through a dedicated checkbox in the Focus Pocus app settings. This SMS consent is not bundled with, or part of, any other agreement including our Terms of Service or general Privacy Policy acceptance.

Opt-in process: You must check a dedicated "SMS Consent" checkbox and click "Send Verification Code" to opt in. The checkbox is unchecked by default and requires your affirmative action.

Messages you may receive:

  • One-time verification codes to confirm your phone number
  • Task confirmation messages when you text tasks to our service (if enabled)

Message frequency: Message frequency varies. You will receive one SMS when you request a verification code. If you use the SMS-to-Task feature, you may receive confirmation messages after texting tasks to our service number.

Message and data rates may apply. Consult your wireless carrier for details about your text messaging plan.

Opt-out: You can stop receiving SMS messages at any time by:

  • Removing your phone number from your Focus Pocus settings
  • Replying STOP to any message from our service

Carrier information: Supported carriers include major US carriers. Carriers are not liable for delayed or undelivered messages.

SMS messages you send to our service number are processed to create tasks in your Focus Pocus account. Message content is stored to allow you to review the source of created tasks.

Phone Number Data Sharing

We do not sell, share, or trade your phone number or SMS opt-in consent with any third parties for marketing purposes. Your phone number is only used to provide the SMS-to-Task feature and is shared only with Twilio, our SMS service provider, solely to deliver messages to you.

We do not send marketing or promotional messages via SMS. All SMS messages from Focus Pocus are transactional in nature (verification codes and task confirmations).

The SMS-to-Task feature is entirely optional. You can use all core features of Focus Pocus without providing a phone number or enabling SMS messaging.

AI Agent Usage Data

When you use the AI agent feature, we collect and store:

  • Token counts (input and output) for each AI processing call
  • The AI model used for processing
  • Cost per call and cumulative costs
  • Timestamps of each processing call

This data is used for billing, usage display, and service improvement.

Agent Context

If you provide an agent context in your profile settings, this text is sent to the AI model as part of task processing to personalize agent behavior. You control what information is included in your agent context.

Google Calendar Data

If you connect your Google Calendar, we access your calendar data to provide the Year-at-a-Glance feature. Here's exactly what we do with your calendar data:

What We Access

  • Event titles and times
  • Event free/busy status
  • Calendar names and colors

What We Display

  • A color-coded year overview showing busy vs. available days
  • When you click a day: event titles, times, and calendar names
  • We do not display event descriptions, attendees, locations, or attachments

How We Process Calendar Data

  • Calendar data is fetched on-demand when you view the Year Calendar
  • We compute a "busyness score" for each day based on event count and duration
  • We cache calendar data temporarily (up to 5 minutes) to improve performance
  • We do not permanently store your raw calendar events in our database
  • We do not share your calendar data with third parties
  • We do not send your Google Calendar data to any AI or machine learning services
  • Google Calendar data is never used to train AI models

Data Segregation

Important: Your Google Calendar data is completely isolated from our AI features. Our application maintains strict data segregation:

  • Google Calendar data stays within our secure infrastructure and is used solely for calendar display features
  • AI features (such as task extraction from journal notes) only process content you directly create within Focus Pocus
  • There is no data flow between Google Calendar data and any AI/ML service

Revoking Calendar Access

You can disconnect your Google Calendar at any time from your Focus Pocus settings. You can also revoke access from your Google Account permissions page.

How We Use Your Information

We use your information to:

  • Provide and maintain the Focus Pocus service
  • Process your tasks, goals, and productivity data
  • Power AI features that help you prioritize and organize work
  • Display calendar availability visualizations
  • Send transactional emails (task confirmations, account notifications)
  • Improve our service based on usage patterns

Data Storage and Security

Your data is stored securely using industry-standard encryption. We use:

  • HTTPS encryption for all data transmission
  • Encrypted database storage
  • Secure cloud infrastructure (hosted in the United States)

Third-Party Services

We use the following third-party services:

  • Google OAuth - For authentication and calendar access
  • OpenAI - To power AI features (task extraction, prioritization suggestions)
  • Resend - For sending transactional emails
  • Cloudflare R2 - For secure file storage (attachments)
  • Twilio - For SMS messaging (phone verification and SMS-to-Task feature)
  • Anthropic - To power AI agent task processing (task names, descriptions, comments, and attachments are sent to Anthropic's Claude API). See Anthropic's Privacy Policy for their data handling practices.
  • Stripe - For payment processing (subscriptions and credit purchases). We store transaction IDs and amounts but do not store your card details.

AI Features and Data Usage

Our AI features use OpenAI to help you extract tasks from journal notes and provide productivity suggestions. Here's exactly what data is sent to AI services:

  • Sent to AI: Journal note content you write, task names and descriptions you create, goal and milestone information
  • Never sent to AI: Google Calendar data, Google account information, email addresses, authentication tokens, or any data obtained from Google APIs

Google API Data Protection: In compliance with Google API Services User Data Policy, we maintain complete separation between data obtained from Google APIs and our AI features. Google user data is never transmitted to OpenAI or any other AI/ML service, and is never used for training AI models.

When you use the AI agent, task content including names, descriptions, comments, and attachments is sent to Anthropic's Claude API for processing. This data is subject to Anthropic's Privacy Policy. We do not control how Anthropic retains or processes data sent to their API.

Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we're required to retain it for legal purposes.

Exception for billing records: AI agent usage records (AgentUsage) and credit purchase records (CreditPurchase) are retained for 7 years after account deletion as required for financial and tax record-keeping purposes. These records may be anonymized to remove personally identifiable information while preserving audit-necessary data.

Your Rights

You have the right to:

  • Access - Request a copy of your data
  • Correction - Update or correct your information
  • Deletion - Request deletion of your account and data
  • Portability - Export your data in a standard format
  • Revoke Permissions - Disconnect third-party integrations at any time

Children's Privacy

Focus Pocus is not intended for children under 13. We do not knowingly collect personal information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date.
